Configurable Journal Workbench
About
The Configurable Journal Workbench is a Built on Workday solution designed to streamline and simplify journal management within Workday Financials. This app addresses the recurring challenges accountants face when handling unposted and unsubmitted journals, particularly during critical periods such as month-end or quarter-end close.
By consolidating all unposted and unsubmitted journals into a single, intuitive interface, the workbench provides accountants with a clear, actionable overview of journals that require attention. The solution empowers users to take swift action, either individually or en mass. By enabling one-click submission of unsubmitted journals, including those inadvertently missed due to automation gaps like missing submit flags in EIBs.
Beyond submission, the app offers real-time feedback on each journal’s processing status and enables drill-down capabilities for entries flagged with critical or warning validations. This facilitates timely resolution of issues, ensures data accuracy, and reduces dependency on external tracking tools or manual workflows.
Ultimately, the Configurable Journal Workbench enhances efficiency, accuracy, and control. It reduces the time and effort spent during period close, minimises human error, and supports audit readiness with a transparent, user-friendly interface. Built natively on Workday, the solution leverages Workday security and user experience standards while offering real value with minimal deployment effort.
Features
Journal Summary And Submit Functionality: The app allows users to view the count of journals based on their current status (e.g., created, unposted). Journals with "created" or "unposted" statuses include a submit button for easy submission. For other statuses, users can view the journals and, through the setup page, enable the submit button for those statuses as well, providing flexibility and control over the submission process.
Real-Time Status Feedback And Notifications: After submission, the app provides immediate feedback on each journal's status, helping users identify and address any issues or journals requiring further action. Also, once all the journals are submitted, the app sends notification of all the submitted journals status along with the error messages if any to the user.
Mass Journal Submission: Configurable Journal Workbench enables accountants to submit multiple journals at once, saving time and eliminating the need to open and submit each journal individually, which is especially useful during period close.
Submitted Journal View: The app allows users to view all the journals that are submitted through this app, as well as the journals that have been submitted by them. This feature provides greater visibility and control over journal submissions, making it easier to track and manage individual contributions.
